Southside Strategic, LLC ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit www.southsidestrategic.com (the "Site") or make a purchase from us.

Please read this Privacy Policy carefully. By accessing or using the Site, you agree to the terms of this Privacy Policy. If you do not agree, please discontinue use of the Site immediately. This Privacy Policy is incorporated into and subject to our Terms of Use.

Information We Collect

We collect information in the following ways:

Information You Provide Directly

When you create an account, place an order, contact us, or interact with our Site, we may collect:

  • Name, email address, phone number, and mailing address
  • Billing and shipping information
  • Account login credentials
  • Order history and transaction details
  • Communications you send to us, including customer service inquiries
  • FFL dealer information provided for firearm transfers

ATF-Mandated Information

As a federally licensed firearms dealer (Type 01 FFL) and Special Occupational Taxpayer (SOT), we are required by federal law to collect and retain certain personal information in connection with firearm and NFA/Title II item transfers, including:

  • Information collected on ATF Form 4473 (Firearms Transaction Record), including government-issued identification details, date of birth, place of birth, citizenship status, and answers to federal eligibility questions
  • Information collected in connection with ATF Form 4 and Form 3 NFA transfer applications
  • Acquisition and Disposition (A&D) bound book records as required by ATF regulations

ATF-mandated records are collected and retained in compliance with federal law and are not subject to deletion or modification upon request. Retention periods for these records are governed by ATF regulations and may extend for the lifetime of the licensed business and beyond.

Information Collected Automatically

When you visit the Site, we and our third-party service providers may automatically collect certain technical information, including:

  • IP address and approximate geographic location
  • Browser type, version, and operating system
  • Pages viewed, time spent on pages, and referring URLs
  • Device identifiers and session data
  • Cookie and tracking data (see Cookies section below)

How We Use Your Information

We use the information we collect for the following purposes:

  • To process and fulfill your orders, including facilitating firearm and NFA transfers through your receiving FFL dealer
  • To comply with federal and state firearms laws and ATF recordkeeping requirements
  • To communicate with you about your orders, inquiries, and customer service matters
  • To send you marketing communications, promotions, and product updates (where you have opted in)
  • To operate, maintain, and improve the Site and our services
  • To detect, prevent, and address fraud, security incidents, and prohibited activities
  • To analyze Site usage and improve the customer experience
  • To comply with applicable legal obligations

We will not sell, rent, or trade your personal information to third parties for their own marketing purposes.

How We Share Your Information

We may share your information with the following categories of third parties:

Federal and State Law Enforcement

As an FFL dealer, we are required by federal law to share certain information with the ATF and other law enforcement agencies, including but not limited to: ATF Form 4473 records upon request during an inspection, NICS background check submissions to the FBI, ATF Form 4 and Form 3 submissions for NFA transfers, and any other disclosures required by law.

Receiving FFL Dealers

When you purchase a firearm or NFA item, we share necessary transfer information with the receiving FFL dealer in your state in order to complete the legal transfer of your purchase.

Service Providers

We share information with trusted third-party service providers who assist us in operating our business, including:

  • BigCommerce — our e-commerce platform provider
  • Payment processors (Visa, Mastercard, Discover, American Express, Apple Pay, Google Pay, Sezzle, Bread Pay) — to process your payments securely
  • Shipping carriers — to fulfill and deliver your orders
  • FastBound — our ATF-compliant A&D recordkeeping platform
  • Klaviyo — our email marketing platform, used to send order confirmations, shipping updates, and marketing communications
  • Google Analytics — to analyze Site traffic and usage patterns

These service providers are authorized to use your information only as necessary to provide services to us and are bound by contractual obligations to keep your information confidential.

Business Transfers

If Southside Strategic is involved in a merger, acquisition, sale of assets, or transfer of our FFL license, your information may be transferred as part of that transaction. We will notify you of any such change via email or a prominent notice on the Site.

Cookies and Tracking Technologies

We use cookies and similar tracking technologies to enhance your experience on the Site. Cookies are small data files stored on your device. We use the following types of cookies:

  • Essential Cookies: Required for the Site to function properly, including shopping cart functionality, account login, and checkout processing. These cannot be disabled.
  • Analytics Cookies: Used by Google Analytics to collect information about how visitors use the Site, including pages visited, time on site, and traffic sources. This information is aggregated and anonymized. You can opt out of Google Analytics tracking at tools.google.com/dlpage/gaoptout.
  • Marketing Cookies: Used to track your browsing activity and deliver relevant marketing communications through Klaviyo and other platforms.

Email Marketing

With your consent, we may use Klaviyo to send you marketing emails including promotions, new product announcements, and other updates. Your email marketing data is processed and stored by Klaviyo in accordance with their privacy policy, available at www.klaviyo.com/legal/privacy.

You may unsubscribe from marketing emails at any time by clicking the "Unsubscribe" link in any marketing email we send, or by contacting us at info@southsidestrategic.com. Transactional emails related to your orders (order confirmations, shipping notifications) are not subject to unsubscribe requests and will be sent regardless of your marketing preferences.

Data Retention

We retain your personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

ATF recordkeeping requirements override standard data retention policies. ATF Form 4473 records must be retained for a minimum of 20 years from the date of transfer (or for the life of the licensed business). A&D bound book records must be retained permanently. These records cannot be deleted upon request and are subject to ATF inspection at any time.

Account and transaction data is retained for as long as your account is active and for a reasonable period thereafter to resolve disputes, enforce our agreements, and comply with legal obligations. You may request deletion of your account data subject to the ATF recordkeeping carve-out above.

Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, use, alteration, or disclosure. Our Site uses SSL/TLS encryption for data transmission. Payment information is processed through PCI-compliant payment processors and is not stored on our servers.

No method of electronic transmission or storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee absolute security. In the event of a data breach that affects your personal information, we will notify you as required by applicable law, including the Texas Business & Commerce Code § 521, which requires notification to affected Texas residents within a reasonable time following discovery of a breach. We will also notify the Texas Attorney General if the breach affects 250 or more Texas residents.

Your Rights and Choices

Subject to applicable law and the ATF recordkeeping requirements described above, you may have the following rights regarding your personal information:

  • Access: You may request a copy of the personal information we hold about you.
  • Correction: You may request that we correct inaccurate or incomplete personal information.
  • Deletion: You may request deletion of your personal information, subject to our legal obligations. ATF-mandated records cannot be deleted.
  • Opt-Out of Marketing: You may opt out of marketing emails at any time via the unsubscribe link in any email or by contacting us directly.
  • Account Information: You may update your account information at any time by logging into your account on the Site.

To exercise any of the above rights, please contact us at info@southsidestrategic.com. We will respond to your request within 45 days of receipt, as required by the TDPSA. We may extend this period by an additional 45 days where reasonably necessary, in which case we will notify you of the extension within the initial 45-day period. We may need to verify your identity before processing certain requests.

Children's Privacy

This Site is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided us with personal information without verifiable parental consent, we will delete that information from our records as quickly as reasonably practicable, subject to any applicable legal retention requirements.

Third-Party Links

The Site may contain links to third-party websites. This Privacy Policy does not apply to those websites. We encourage you to review the privacy policies of any third-party sites you visit. We have no control over and assume no responsibility for the content or privacy practices of third-party websites.

Do Not Track

Some browsers include a "Do Not Track" (DNT) feature that signals websites not to track your activity. Because there is no uniform standard for how websites should respond to DNT signals, our Site does not currently respond to DNT browser signals. We will continue to monitor developments in this area and update our practices as standards evolve.

Texas Privacy Rights

Southside Strategic is based in Texas and primarily serves U.S.-based customers. Texas residents may have additional rights under the Texas Data Privacy and Security Act (TDPSA) and other applicable state laws. These rights may include the right to access, correct, delete, and opt out of the sale of your personal data, as well as the right to opt out of targeted advertising.

Sensitive Data: Certain information we collect — including government-issued identification numbers and answers to federal eligibility questions collected on ATF Form 4473 — constitutes "sensitive data" under the TDPSA. This information is collected solely to fulfill mandatory federal legal requirements as an FFL dealer and is not used for any commercial purpose. We do not process sensitive data for targeted advertising or sell sensitive data under any circumstances.

We do not sell your personal information as defined under applicable Texas law. To exercise any applicable privacy rights, please contact us at info@southsidestrategic.com. We will respond to verified requests within the time frames required by applicable law.

If you are dissatisfied with our response to a privacy rights request, you may have the right to appeal. To appeal a decision, please contact us at the email address above with the subject line "Privacy Rights Appeal."

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will notify you of any material changes by updating the "Last Updated" date at the top of this page and, where appropriate, by sending an email notification. Your continued use of the Site after any changes constitutes your acceptance of the updated Privacy Policy.
